Corporate Diwali and Year-End Party AV: Sound, Stage, LED and Lighting

All Articles

The stretch from Diwali to the year-end is the busiest party season for corporates in Delhi NCR. Companies book hotel ballrooms, farmhouses and their own office terraces for Diwali celebrations, team parties and annual get-togethers, and the AV brief for these is deceptively mixed. It is part nightclub and part town hall: there is a DJ and a dance floor, but there is also the MD's address, a few words of thanks, often a short awards or long-service segment, and a lot of branding the marketing team wants on screen.

That mix is exactly where these events go wrong. A setup tuned only for the dance floor leaves the MD's speech booming and unintelligible; a setup tuned only for speeches feels flat when the music starts. The trick is one system that does both well and a flow that moves cleanly between them. This guide is written for the HR, admin or marketing owner planning the party, and the principles hold every season, so keep it as a reference.

Because the speech-and-music balance is central, our guide to sound system wattage is a useful companion, and if your party is on an open terrace or lawn, the outdoor event AV guide covers the power and weather side.

DJ, sound and lighting setup for a corporate Diwali party in Delhi NCR
Sound, DJ and lighting of the kind we set up for corporate Diwali and year-end parties.

One System for Both the DJ and the MD

The core decision is a sound system that handles a dance floor and clear speech from the same rig. A DJ wants energy and a strong low end; the MD's address wants intelligible voice with no boom. A good setup covers both: full-range speakers with subwoofers for the music, a digital mixer to switch cleanly between the DJ feed, wireless microphones for speeches and any playback, and levels tuned so a handheld mic for the MD cuts through without feedback or muddiness. The flow matters too, since these parties usually run a formal segment, the address and any awards, before the floor opens, so the system and the operator move from speech mode to party mode without a scramble.

Size the system to the room and the headcount, not just to the music. A 100-person terrace party and a 500-person ballroom are very different rigs. Our sound system on rent in Delhi NCR page lists the options, and the common AV mistakes guide covers the ones that spoil a party.

Stage and LED: Branding and the Big Moments

Most corporate parties want a stage, even a modest one, for the address, any awards or long-service recognition, and performances. An LED backdrop behind it carries the company branding, the party theme, photos and any video, and in a lit ballroom an LED wall reads far better than projection. The screen also handles the moments people remember: the team montage, the long-service felicitations, the countdown. For a party that doubles as a recognition evening with many categories and citations, the planning leans closer to a full awards production, with a run of show and a show caller.

The branded backdrop is also where the photographs happen, so plan it as a photo moment, not just a screen. Our stage rental and setup and event production equipment rental pages cover the stage, truss and LED together, and our projector versus LED wall guide explains why LED suits a lit party room.

Lighting: Ambience Early, Energy Later

Party lighting does two shifts in one night. Early on, during dinner and the formal segment, it sets a warm, premium ambience with table and venue uplighting and a clean wash on the stage so faces read for the photographer and any video. Once the floor opens, it shifts to dynamic dance-floor energy with moving heads, colour and effects, often with a hazer to make the beams pop. The whole rig runs off an intelligent console programmed to follow the night, so the change of mood is a cue, not a frantic re-patch.

Keep it tasteful for the corporate audience: most companies want premium and celebratory rather than nightclub-intense, and the lighting should still flatter the room for photos. We design the plot to your venue and the flow of your evening.

Venue Matters: Ballroom, Farmhouse or Office Terrace

Where you hold it changes the AV. A hotel ballroom is the easy case: controlled light, reliable power and a loading dock. A farmhouse or a lawn is an outdoor build, which adds a generator with backup, weather contingency and cable safety. An office terrace is its own puzzle, with load-in by lift, weight and power limits, and neighbours, so noise levels and timing need planning. Each of these is workable; each just needs to be planned for rather than discovered on the day. For larger or remote teams, some companies also stream the address or the awards to colleagues who could not travel, which adds a camera and an encoder to the brief.

Indicative Costs in Delhi NCR

Corporate party AV is quoted as a package and scales with the headcount, the venue and how much stage, LED and lighting you want. The figures below are indicative day-rate ranges to help you budget, before GST and any generator.

ElementIndicative cost (per event)Notes
Sound system (music + speeches)Rs 15,000 to 70,000+Scales with headcount and venue
Stage with LED backdropRs 30,000 to 1,50,000+LED priced per sq ft; stage by size
Lighting (ambience + dance floor)Rs 15,000 to 60,000+Uplighting plus dynamic floor rig
Streaming add-on (remote teams)Rs 25,000 to 80,000+Camera and encoder for the address or awards

These are indicative ranges, not a fixed rate card, and they exclude GST and generator. Quotes vary with headcount, venue and how elaborate the stage and lighting are. Share your venue and numbers for a same-day indicative quote, and see our AV rental price list for context.

Recent Corporate Party Setups We Have Delivered

Anonymised examples from Diwali and year-end parties across Delhi NCR.

Office Diwali party, hotel ballroom in Aerocity

An employer hosted around 300 staff with a formal address, a short long-service recognition and then a DJ. We ran one system tuned for clear speech and full-energy music, a stage with an LED backdrop carrying the branding and the felicitation graphics, and lighting that moved from warm ambience during dinner to a dynamic floor later. The operator handled the switch from address to dance floor cleanly.

Year-end team party, farmhouse in South Delhi

A company took around 150 people to a farmhouse for an outdoor evening. As an outdoor build we planned a generator with backup, weather contingency and matted cabling, a stage with a branded backdrop for photos, a DJ-capable sound system and a lively lighting rig. The brief was a relaxed but premium feel, which the ambience-to-energy lighting plan delivered.

Startup celebration on an office terrace, Cyber City Gurugram

A startup celebrated on its own terrace for around 120 people. The constraints were load-in by lift, power and weight limits and neighbours, so we used a compact but capable system, kept levels and timing within what the building allowed, and added tasteful uplighting and a small LED screen for the team montage and photos.

Annual party with awards and a remote stream, banquet in Noida

A larger company combined its year-end party with a recognition segment of many categories and wanted to stream the address and awards to colleagues in other cities. We treated the formal part like a small awards production, with a run of show and a clean speech setup, a larger LED wall, and a camera and encoder feeding a stable stream, before the floor opened for the party.

Common Mistakes to Avoid

  • Tuning the system for only music or only speech. A dance-floor rig makes the MD's address boom and blur; a speech rig feels flat when the DJ starts. Use one system tuned for both, with an operator who manages the transition.
  • No clear flow from formal to party. Parties stall when the switch from the address and awards to the dance floor is improvised. Plan the running order so the change of mood is a cue, not a scramble.
  • Forgetting the venue's limits. Terraces have load-in, power, weight and noise constraints; farmhouses need power and weather plans. Discover these in planning, not on the day.
  • Lighting that does not flatter the room. Nightclub-intense lighting can ruin the photographs the company wants. Plan warm ambience for dinner and the photo backdrop, with energy reserved for the floor.
  • Undersizing or ignoring backup power outdoors. A farmhouse or terrace party needs a generator sized to the full load with a backup, or a power cut ends the evening.

Frequently Asked Questions

Can one sound system handle both the DJ and the speeches?

Yes, and it should. A good setup uses full-range speakers with subwoofers for the music and a digital mixer with wireless microphones for the address, tuned so speech is clear and music has energy without the speech booming. The same operator switches cleanly between speech mode for the MD's address and party mode for the DJ. Running two separate systems is rarely necessary; one well-designed rig with a competent operator covers both.

Do we need an LED screen for an office party?

For most corporate parties it adds a lot: the LED backdrop carries the branding, the party theme, the team montage and any awards or long-service graphics, and in a lit room it reads far better than projection. It also doubles as the photo backdrop. For a small, informal gathering you may not need one, but for anything with an address, recognition or a theme, a screen lifts the whole evening. We size it to the stage and venue.

Our party is on the office terrace. Is that a problem?

Not at all, but it needs planning. Terraces have load-in by lift, power and weight limits and neighbours, so we use a setup that fits the access and the building's limits, and we keep sound levels and timing within what is allowed. With those constraints planned for, a terrace makes a great party venue. The key is sorting the building's rules and the power situation before the day rather than discovering them during load-in.

Can you stream the party or the awards to our other offices?

Yes. Many companies stream the address and the recognition segment to colleagues in other cities who cannot travel. We add one or more cameras and an encoder, and plan reliable connectivity for the venue, then stream to your internal platform or a private link. The party itself is usually in-room only, with the formal segment streamed. Tell us which parts you want remote colleagues to see and we will scope it.

How is this different from a full awards night?

It is a matter of degree. A party with a short address and a few felicitations needs a clean speech setup and a screen. A party built around many award categories with citations and reveals leans closer to a full awards production, with a run of show and a show caller to keep it flowing. We scale the production to how formal and how long your recognition segment is, so you are not over- or under-producing the evening.

How big a setup do we need for our headcount?

It scales with the number of people and the venue. A 100-person terrace party and a 500-person ballroom are very different rigs in sound, stage, LED and lighting. The system has to fill the room evenly and the screen has to be visible from the back, so we size everything to your headcount and space rather than to a fixed package. Share your numbers and venue and we will propose a setup that fits.

How early should we book for the party season?

Early. The Diwali-to-year-end window concentrates demand across the region, and venues, sound, stage, LED and lighting all book out for the popular dates. Reserving several weeks ahead protects your equipment and crew and leaves time for a site visit, especially for a farmhouse or terrace where power and access need planning. The best dates and the larger setups go first, so lock yours in as soon as the date is fixed.

Can you provide a DJ, or just the equipment?

We provide and operate the AV: the sound system, stage, LED, lighting and an operator who manages levels and the transitions through the evening. Where you want a DJ or live performers, we coordinate the technical side so their feed runs cleanly through the system and the lighting supports the floor. Tell us your entertainment plan and we will make sure the AV is set up to support it end to end.
