When printer rental works

Printer and photocopier rental fits two clear situations. The first is temporary office setups: pop-up branches, exhibition booths, conference back-rooms, registration desks at events, project sites that need on-demand printing for 2 to 12 weeks. A day-rate or short-term contract puts the right machine on site with consumables included, then takes it away when the project closes.

The second is monthly office rental as a managed-print alternative to outright purchase. For a startup or expansion office that wants a colour A3 multifunction printer without a 4 lakh capex, a 6 to 24 month rental contract with toner, service and replacement included is a simpler arrangement. Page-volume based contracts are also available where you pay per-page rather than a fixed monthly.

Pricing models

Day rate for events and short-term needs: we deliver, set up, run during the event and pick up. Toner usage during the event is included up to a reasonable page count; very high volumes are billed separately.

Monthly contract with a fixed monthly rate: toner replacement, preventive maintenance and on-site service are included. The fixed monthly rate is best when print volume is predictable; we set the rate based on machine class and expected monthly page count.

Page-volume contract: low base fee plus a per-page rate (different for mono and colour). Best when print volume varies sharply month to month or when you want the cost to track usage. Common in offices that print under 2,000 pages a month some months and 10,000 pages other months.

Specific rates depend on the machine class, expected volume and contract length. Please call with your expected monthly print volume (mono and colour separately) and we will share a rate that fits.

Frequently asked questions

Is toner included in the monthly rental?

Yes. Toner replacement is included in the fixed monthly rate up to the expected page volume of the chosen plan. If usage consistently exceeds the planned volume by more than 15 percent for two consecutive months, we adjust the plan together to a higher volume tier.

What about on-site service if the machine breaks?

Monthly contracts include on-site service within 24 hours of a service call. For Delhi NCR addresses we typically respond same day. Replacement consumables (drum, fuser, rollers) are covered under the contract.

Can we use our own paper?

Yes. We supply standard 75 GSM paper as a courtesy in the first delivery; thereafter paper is your responsibility. The machine supports standard paper sizes; specialty papers (glossy, very heavy stock) should be tested before bulk runs.

Can the printer connect to our office network and Active Directory?

Yes. Network printer setup is included in the install. We configure IPv4 / IPv6 addressing, AirPrint for Apple devices, Universal Print and integration with your domain controller for user authentication and pull-printing if needed.
